    AGM & 56th Annual Conference | Elections & Voting Information

    The PCV AGM and Annual Conference will be held on Saturday 13th October at the Mulgrave Country Club. Nominations are called for State President, State Vice President and State Councillors (Zone Representatives)

    Annual General Meeting & Annual Conference 2018

    To elect the Pony Club Victoria Office Bearers, Zone Representatives and present the Annual Report

    Date: Saturday 13th October 2018

    Venue: Mulgrave Country Club, Cnr Wellington & Jells Rd, Mulgrave

    Registration: 10.00am

    Morning Tea: 10.00am – 10.30am

    AGM start time: 10.30am

    Conference start time: Immediately after AGM

    All affiliated Pony Clubs are voting members of Pony Club Victoria and as such should register their intention to attend or submit an apology to the meeting.  If nominating as an apology a Club may send someone as the Club's proxy to vote on decisions at the Annual General Meeting.

    What happens at the AGM & Annual Conference?

    Annual General Meeting

    PCV State Council members are elected at the AGM and the Annual Report of the Association is presented to the membership.

    Annual Conference

    The Annual Conference is a chance for exchanging ideas, networking, contributing to the greater view and planning for Pony Club in to the future.

    Everyone is welcome to attend the Annual Conference.  If you think you have a topic that would be interesting to raise in this public forum have a chat with your Club.  Clubs are invited to submit topics for discussion to the Annual Conference.  These topics must be received in writing with a brief subject explanation by 5PM Friday 8th September 2017.  

    Clubs are the members of PCV and should RSVP to the Annual General Meeting as attending or submit an apology.

    State Council Vacancies/Elections

    Due to natural end of terms and resignations the following roles are vacant on the PCV State Council.  

    Nominations are being sought for PCV State Council Office Bearers:

    • State President (2 year term 2018-2020)

              State President Role Description | Nomination Form

    • State Vice President (2 year term 2018-2020) 

               State Vice President Role Description | Nomination Form

    Other vacancies are the PCV State Councillors (Zone Representative), these roles are appointed annually.

    All Nominees to State Council are subject to the following Eligibility Criteria

    Notices of Motion for the AGM

    Must be Submitted in writing and endorsed by a Member Club. 

    Notices of Motion and Conference Items must be received at the PCV State Office by 5PM Monday 27th August 2018.


    Conference following the AGM

    Clubs are invited to submit items for discussion at the Conference following the AGM.  Submissions must be made in writing and be accompanied with a brief subject explanation.


    RSVP

    The Annual General Meeting (AGM) is a meeting of the members of an organisation, the members of Pony Club Victoria are the Clubs. 

    All Clubs should indicate if they are attending the AGM by registering a VOTING DELEGATE or an APOLOGY.   Each Club can have one voting Delegate all other attendees are observers.  Clubs can also appoint a Proxy to vote for them if they are unable to attend the meeting.

    PROXY APPOINTMENT

    Any Club who is not able to attend can appoint someone to be their proxy for voting purposes at the AGM.  Proxy must be received by the State Council 48hrs prior to the AGM.
